billing
Barn bills the trainer; the trainer bills horse owners
TL;DR
The barn invoices the lease holder for leased-space horses. The trainer invoices their horse owners with ad-hoc lines and optional card pay on the trainer’s Stripe account — never the barn’s. QBO/CSV export is barn invoices only. Pro after trial.

How to (staff)
- Care-to-cash and packages for a horse with a lease holder as record manager invoice that lease holder, not the sub-tenant. You cannot create a barn invoice to a sub-tenant.
- Billing lists barn invoices by default. Open Issued by lease holders to view trainer invoices (read-only).
- QBO/CSV export (
/app/reports/export/invoices) includes barn invoices only.
How to (lease holder)
- Lease workspace → Invoices you send. New invoice: pick a horse owner, add ad-hoc lines (no barn catalog).
- Send, void, or record offline pay.
- Payouts starts your own Stripe account so horse owners can pay by card. Barnflow does not take a cut. Without payouts, they still see the invoice and pay you offline.
How to (horse owner)
Your portal Invoices shows bills from the barn and from your trainer. Card pay says Pay {trainer name} when the trainer issued it.
Example
Willow Training LLC leases A-01–A-04. Maple’s farrier is billable care — staff care-to-cash drafts an invoice to Willow, not Maya. Willow sends Maya an ad-hoc “training week” invoice. Maya pays Willow’s Stripe account.
